Introducing the new Base deal tracking module

We are excited to announce the launch of our new Base deal tracking module. Developed throughout 2023, it has received approval from both small and large real estate offices across independent and franchise brands.

The deal tracking module is an integral part of the Base system, designed to help real estate offices streamline the management of sale and rental transactions through a highly configurable system. Its goal is to enhance transparency by offering a clearer view of the tasks, roles, and responsibilities associated with each transaction. Best of all, the module can be configured to serve estate agents in any country.

We are now onboarding clients in limited numbers. Here are some of the highlights we want to share:

Create customised deal workflows

Create custom pipelines to track specific deals (for example, keeping your rentals and sales separate) and utilize the interactive Kanban board for a visual overview of deals per milestone, including a summary of task status and deal value for each. Agents can view their own deals, while transaction coordinators get access to a global view of all transactions for the office and easily monitor expected registration dates.

Detailed task tracking

Templates enable you to track a deal through a series of preconfigured tasks. For instance, property types (such as sectional title vs. freehold) and sale types (including finance type, juristic entity, etc.) can be set up as individual templates each with its own set of custom tasks. This ensures a predefined workflow is ready for each new deal, clarifying responsibilities. The beauty of the system lies in its flexibility, allowing you to make the tracking as compact or detailed as required.

Every task can be tracked, discussed and linked to due dates where required. Like the rest of the Base system, there is a detailed audit trail, and roles can be configured to suit your team’s unique needs.

Multiple offer tracking with secure document storage

Dealing with a hot property? Our deal tracking system enables you to capture and track multiple offers per listing, allowing for an unlimited number of deals to be recorded, all while linked to your central contacts database.

Securely upload and store an unlimited number of files per deal. With role-based access, you can restrict the visibility of sensitive files.

Commission tracking, slips and reports

Each deal features a section dedicated to tracking all the financial aspects, including:

  • The structure of the deal, including offer price, commission charged, VAT and other fees payable;
  • Pre-commission deductions;
  • Commission splits to multiple agents.

Once a deal is finalized and paid, you can print a customised commission slip for your agents.

Various reports simplify the process of obtaining a breakdown of your deals and commission statuses, and you also have the option to request customized reports tailored to your specific needs.

Access your deals on the go

Since the deal tracking module is integrated into Base, it offers an end-to-end platform for managing the entire sales lifecycle. This includes loading mandates, marketing them on multiple platforms, automatically importing leads, printing brochures, performing buyer and seller matching, and more.

Our new app, available on the Google Play Store, provides quick access to your deals and all other Base services directly from your mobile phone or tablet.

Costs and getting started

A fixed fee allows for the tracking of unlimited deals and secure document storage, mirroring the unlimited document storage already offered in the rest of of Base. Please see our Base page for the latest pricing.
